01. SCOPE AND ORGANIZATION
Get in the Van Productions (겟인더밴 프로덕션, “Get in the Van,” “we,” “us,” or “our”) processes personal information in connection with our theatre productions, educational and community programs, volunteer and creative opportunities, website, mailing lists, and other organizational activities.
This Privacy Policy applies to personal information processed through getinthevan.org, forms and applications linked or embedded on our website, Get in the Van mailing lists, direct communications with our organization, and other activities described below.
Get in the Van Productions is the personal information controller responsible for the processing described in this Policy.
This Policy does not govern websites or services operated independently by third parties that you may visit through links on our website, such as Instagram or external media websites. Those services maintain their own privacy policies.

02. PERSONAL INFORMATION WE PROCESS.
A. SCOPE AND ORGANIZATIONA. General inquiries
Information processed: Name, email address, inquiry category, message content, and any other information voluntarily included in the message.
Purpose: To receive, respond to, and follow up on questions, requests, collaboration inquiries, press inquiries, and other communications.
Retention: Up to one year after the inquiry has been resolved or the last substantive communication, unless the information becomes part of an ongoing relationship or must be retained for another lawful purpose.
B. Work With Us applications
Information processed: Name, email address, optional phone number or KakaoTalk ID, preferred communication language, areas of interest, experience and skills, portfolio/CV or other submitted links, availability, workshop-teaching interests, free-text responses, and privacy/retention consent choices.
Purpose: To evaluate and coordinate participation in productions, creative and technical work, volunteering, administration, workshops, events, and other Get in the Van activities; to communicate about opportunities for which a person has expressed interest.
Retention: If you do not consent to future-opportunity retention, information is retained until the relevant opportunity has concluded and for up to six months afterward. Where no specific current opportunity applies, it is retained for up to six months from submission.
If you separately consent to being considered for future opportunities, the information may be retained for up to two years from submission, or until you withdraw that consent, whichever comes first.
C. Workshops, classes and community surveys
Information processed: Survey responses, interests, experience levels, skills, requested topics, availability, and, where requested or voluntarily provided, name and contact information.
Purpose: To understand community interests, develop educational and community programming, plan workshops and classes, and contact respondents where they have requested or consented to follow-up.
Retention: Identifiable responses are retained for up to two years from collection or until they are no longer needed for the stated purpose, whichever comes first. Responses that cannot reasonably identify an individual are not treated as personal information.
D. Workshop and class mailing list
Information processed: Email address, subscription date, source of subscription, consent version/status, and unsubscribe date.
Purpose: To send information specifically about Get in the Van workshops, classes, and related educational opportunities, and to manage subscription and withdrawal records.
Retention: Active subscriber information is retained while the person remains subscribed. When a person unsubscribes, Get in the Van stops sending these messages. A minimal suppression record, such as the email address, unsubscribe status and unsubscribe date, may be retained for up to two years to document the withdrawal and prevent accidental future mailing, unless a longer period is required by law.
E. Ticketing and event registration
Information processed, when applicable: Name, email address, phone number, selected performance or event, ticket quantity, bank-transfer name/payment status, and information needed to process a cancellation or refund.
Purpose: To administer reservations and registrations, confirm payment where applicable, communicate event information, manage attendance, and process cancellations or refunds.
Retention: Ordinarily up to one year after the relevant performance or event. Financial and transaction records that must be retained under applicable tax, accounting, or other law are retained for the legally required period.
F. Donations and financial administration
Information processed, where applicable: Donor or depositor name, transaction date and amount, bank-transaction information available to the organization, contact information voluntarily provided by the donor, and account information necessary for a refund or reimbursement.
Purpose: To administer donations, verify transactions, maintain accounting records, process refunds or reimbursements, and meet applicable reporting, tax, and accounting obligations.
Retention: For the period required by applicable tax, accounting, and other laws. Information not subject to a statutory retention requirement is deleted when it is no longer necessary for the purpose for which it was processed.
G. Production publicity and organizational archives
Where performers, crew members, instructors, volunteers, or collaborators separately agree to appear in Get in the Van publicity or archives, we may process information such as name, role, biography, headshot, production photographs, video, and approved professional links.
This information is used for programs, production promotion, press materials, the Get in the Van website, social media, and organizational archives. The applicable consent, release, contract, or separate notice will state the intended use and retention where necessary.
03. LEGAL BASIS AND CONSENT
Get in the Van processes personal information only where an appropriate legal basis exists.
Where we rely on your consent, we will provide the relevant purpose, information to be collected, retention period, and the consequences, if any, of refusing consent before obtaining that consent.
Consent for purposes that are not necessary to process a current request—such as retaining an application for future opportunities or receiving mailing-list communications—is requested separately where appropriate.
Optional information may be withheld unless it is necessary for a particular requested service or activity.
Get in the Van does not sell personal information.
04. THIRD-PARTY PROVISION
Get in the Van does not ordinarily provide personal information to independent third parties outside the purposes described in this Policy.
Personal information may be provided to a third party only where:
the data subject has separately consented;
provision is permitted or required by applicable law; or
another lawful basis under the Personal Information Protection Act applies.
If a future co-production, event, funding program, or other activity requires personal information to be shared with an independent third party, Get in the Van will provide any required notice or obtain separate consent before doing so.
Service providers that process information on Get in the Van's behalf are described separately below and are not treated here as ordinary third-party recipients.
05. PROCESSING SERVICE PROVIDERS
Get in the Van uses external technology services to operate its website, forms, databases, communications, and mailing-list systems.
Processor: Google LLC and applicable Google affiliates and subprocessors
Services used: Google Workspace and related Google services, including Google Sites, Google Forms, Google Sheets, Google Drive, Google Apps Script and email services
Processing activities: Website hosting and operation; collection and storage of form responses; document and database storage; mailing-list administration and automation; organizational email and communications; technical operation, maintenance and support of those services.
Get in the Van limits access to these systems to authorized members of the organization and will update this Policy if material processors or processing activities change.
06. OVERSEAS PROCESSING AND TRANSFER
Get in the Van uses Google Workspace and related Google services. As a result, personal information processed through certain website forms, applications, mailing-list systems, files, or organizational communications may be transferred to, stored in, or otherwise processed outside the Republic of Korea.
Recipient: Google LLC and applicable Google affiliates and subprocessors
Information transferred: Personal information submitted to or stored through the applicable Google service, including information described in Section 2 above.
Countries: The United States and other countries in which Google and its authorized subprocessors operate relevant data centers, service-maintenance operations, or support services. The applicable countries may vary by Google service, account configuration, and subprocessor. Google's current Google Workspace Subprocessor list is available from Google and is linked below.
GOOGLE WORKSPACE SUBPROCESSOR INFORMATION
Timing and method: Electronically through Google's services when information is submitted, stored, accessed, transmitted, or processed through the relevant service.
Purpose: Website and form operation, storage of organizational information and form responses, communication and email delivery, mailing-list administration, service maintenance, security, and technical support.
Retention: Personal information is retained according to the applicable period described in Section 2. Google may separately retain service logs, backups, or other information according to its applicable service terms and data-processing obligations.
Where separate consent for overseas transfer is legally required, Get in the Van will obtain that consent before the transfer. Where another lawful basis under Article 28-8 of the Personal Information Protection Act applies, the transfer will be carried out only within that lawful basis.
You may refuse an overseas-transfer consent where consent is requested. Depending on the service involved, refusing the transfer may mean that we cannot process that submission through the relevant Google-hosted form or system.
07. DESTRUCTION OF PERSONAL INFORMATION
Get in the Van destroys personal information without unreasonable delay when the applicable retention period ends or the information is no longer necessary for its stated purpose, unless continued retention is required by law.
Personal information stored electronically is deleted from the systems under Get in the Van's control using the deletion functions available through the applicable service. Paper records containing personal information are shredded or otherwise destroyed so that the information cannot reasonably be reconstructed.
Where information remains temporarily in service-provider backup systems after deletion from active systems, it will be removed according to the applicable provider's backup and deletion cycle and will not be used for ordinary organizational purposes.
Where the law requires certain information to be retained after the original purpose has ended, Get in the Van will limit its use to the legally required purpose and retention period.
Get in the Van takes reasonable administrative and technical measures appropriate to the nature and scale of the personal information it processes.
These measures include limiting access to personal information to people who need it for their organizational responsibilities, managing account permissions, using password-protected organizational accounts and available account-security measures, reviewing and removing access when responsibilities change, limiting unnecessary copying and sharing of personal information, and using service providers that maintain technical and organizational security measures.
Members of the organization with access to personal information are expected to use it only for authorized organizational purposes.
You may request, as applicable:
access to personal information Get in the Van processes about you;
correction of inaccurate information;
deletion of personal information;
suspension of processing; and
withdrawal of consent previously given.

Get in the Van may request information reasonably necessary to verify the identity of the person making the request and will respond in accordance with applicable law.
In some cases, a request may be limited or refused where continued processing or retention is required or permitted by law or where another lawful restriction applies. Where appropriate, Get in the Van will explain the reason.
Withdrawing consent does not affect processing that occurred lawfully before the withdrawal.
10. COOKIES AND AUTOMATIC COLLECTION
Get in the Van does not currently operate its own behavioral advertising system, advertising pixels, or user-profiling system on getinthevan.org.
The Google Sites platform and other embedded or linked Google services may use cookies, access logs, device/browser information, or similar technical information as necessary to operate, secure, maintain, and improve those services.
Users can manage or block cookies through their browser settings. Blocking cookies may affect the operation of certain Google-hosted or embedded features.
If Get in the Van later introduces its own analytics, advertising technology, or other automatic personal-information collection tools, this Policy will be updated before or when those tools are introduced as required.
11. CHILDREN AND SENSITIVE INFORMATION
Get in the Van's general website forms are not intended to collect personal information directly from children under the age of 14.
If Get in the Van needs to process the personal information of a child under 14, we will take the steps required by Korean law, including obtaining consent from the child's legal representative where required.
Please do not submit resident registration numbers, health information, or other sensitive or uniquely identifying information through general website forms or free-text fields unless a specific Get in the Van process expressly requests it and provides an appropriate notice or consent process.
Where information such as accessibility or accommodation needs requires the processing of sensitive personal information, Get in the Van will provide a separate notice and obtain any consent required by law.

14. CHANGES TO THIS POLICY
This Privacy Policy takes effect on September 12, 2026.
Get in the Van may update this Policy when our services, data-processing practices, service providers, or applicable legal requirements change.
When the Policy is changed, the updated version and its effective date will be published on this page. Where applicable law requires advance notice or additional consent, Get in the Van will provide that notice or obtain that consent.
Previous versions will be retained or made available where reasonably appropriate so that material changes can be identified.
